Work Diary Content

  • Weekly diary entries including accomplishments, challenges, and progress notes
  • Goals and objectives you set or receive from managers
  • Stories and narratives generated from your entries
  • Tags, competencies, and skills you associate with your work

Candidate Profile (Optional)

  • Professional headline and bio
  • Skills, experience level, and location
  • Manager-verified skills and achievements
  • Visibility preferences for recruiter discovery

Usage Data

  • Log data such as IP address, browser type, and access times
  • Pages visited and features used within the application

2. How We Use Your Information

We use the information we collect to:

  • Provide our services: Enable you to log work entries, track career progress, set goals, and generate stories for performance reviews and job applications.
  • Facilitate team features: Allow managers to set objectives, review submissions, and verify employee skills within organizations.
  • Enable recruiter discovery (opt-in only): If you choose to make your candidate profile visible, we share your profile information with recruiters and hiring managers searching for candidates through our MCP (Model Context Protocol) integration.
  • Personalize your experience: Remember your preferences, suggest relevant features, and improve our AI-powered tools.
  • Communicate with you: Send service updates, respond to inquiries, and provide support.
  • Improve Worktrail: Analyze usage patterns to enhance features, fix issues, and develop new functionality.

3. How We Share Your Information

We do not sell your personal information. We share data only in these circumstances:

  • With your organization: If you join a team, your manager and organization admins can view your diary entries, objectives, and related work data within that organization.
  • With recruiters (opt-in): Only if you explicitly enable candidate visibility, your profile and verified skills may be discoverable by recruiters using AI-powered search tools.
  • Service providers: We use third-party services (hosting, analytics, AI processing) that process data on our behalf under strict confidentiality agreements.
  • Legal requirements: We may disclose information if required by law or to protect the rights, safety, or property of Worktrail, our users, or others.

4. Data Storage and Security

Your data is stored securely using industry-standard practices:

  • We use Supabase for database hosting, which provides encryption at rest and in transit.
  • All data is transmitted over HTTPS with TLS encryption.
  • Access to production systems is restricted and monitored.
  • We implement Row Level Security (RLS) policies to ensure users can only access their own data.
  • Passwords are hashed using industry-standard algorithms and are never stored in plain text.

While we take reasonable measures to protect your information, no system is completely secure. We encourage you to use a strong, unique password for your Worktrail account.

5. Your Rights and Choices

You have control over your personal information:

  • Access: You can view all your diary entries, stories, goals, and profile information within the application at any time.
  • Correction: You can edit or update your information through your account settings and profile pages.
  • Deletion: You can delete individual entries or request deletion of your entire account by contacting us. Account deletion removes your personal data from our active systems.
  • Data portability: You can export your diary entries and work history in standard formats.
  • Visibility control: You can change your candidate profile visibility at any time, including setting it to "Hidden" to prevent any recruiter discovery.
  • Withdraw from organization: You can leave a team or organization at any time, which removes manager access to your future entries.

6. Cookies and Analytics

We use cookies and similar technologies to:

  • Keep you signed in to your account
  • Remember your preferences
  • Understand how you use Worktrail so we can improve the product

We use Vercel Analytics to collect anonymous usage data. This helps us understand which features are popular and where users encounter issues. Analytics data is aggregated and does not identify individual users.

You can control cookies through your browser settings. Note that disabling cookies may affect your ability to use certain features of Worktrail.

7. Data Retention

We retain your personal information for as long as your account is active or as needed to provide you services. If you delete your account, we will delete or anonymize your personal data within 30 days, except where we are required to retain certain information for legal or legitimate business purposes (such as resolving disputes or enforcing our agreements).

8. Children's Privacy

Worktrail is designed for professional use and is not intended for children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us so we can delete it.

9. International Data Transfers

Your information may be transferred to and processed in countries other than your own. Our hosting infrastructure is provided by Vercel and Supabase, which may store data in various global regions. We ensure appropriate safeguards are in place to protect your information in accordance with this Privacy Policy.

We may update this Privacy Policy from time to time. If we make material changes, we will notify you by email or by posting a notice in the application before the changes take effect. We encourage you to review this policy periodically. Your continued use of Worktrail after changes are posted constitutes your acceptance of the updated policy.
